The Apostille Process: What You Need to Know

Understanding the Apostille process is essential when preparing to use important documents abroad. Whether you’re handling business, legal, or personal matters, you can save time and hassle by ensuring proper authentication of your documents. 1. Identify the Document Requirements

  • Determine the Type of Document: Identify the specific document(s) you need to authenticate. Common documents include birth certificates, diplomas, legal contracts, and more.
  • Understand the Requirements: Different countries may have specific requirements. Check with the receiving country’s consulate or embassy to ensure your documents meet their standards.

3. Visit Carter Notary

  • Do Not Sign or Date Documents in Advance: To ensure the integrity of the process, avoid signing or dating your documents before your visit. Our Notary will guide you through the appropriate steps.
  • Bring Necessary Identification: Ensure you have proper identification, such as a passport or driver’s license, to verify your identity.

4. Notarization of Documents

  • Verification Process: Our Notary will verify your identity and witness the signing of your documents, ensuring everything is completed accurately.
  • Affix the Notarial Seal: After verification, we will affix the notarial seal and signature, certifying the document’s authenticity.

5. Submit Documents for Apostille Certification

  • British Columbia Authentication Office: You must submit your notarized documents to the British Columbia Authentication Office for Apostille certification.

  • Processing Time: Currently, the British Columbia government’s completion time for Apostille documents has increased from 1 week to 6-9 weeks. If you’re on a deadline, it’s crucial to start early.

The delay in processing times is an issue we have raised with the British Columbia government to improve efficiency and reduce waiting times. To avoid unnecessary stress and potential delays, we recommend beginning the process well ahead of your deadline.

The Notary will ask you for important information. Here are four questions to answer about your document before seeing the Notary.

  1. What country is my document being used for? Some countries still require consulate authentication following the Apostille process. Please reach out to the consulate of your country to confirm requirements.
  2. Is my document complete or filled out? Please fill out your document as much as possible prior to the appointment. The only exception is the signature and date, this must be done with the Notary as a witness.
  3. If my document contains a foreign language, has a certified translator translated it? If you have yet to translate your document, you can find lists of certified professional translators at the following links.

  4. Are there any unique signing requirements for my document? Some documents require specific processes or wording that you need to follow to ensure they are accepted for use. If you have not been provided with instructions for your document, do this.
    • Ask the agent, government, or entity who originally instructed you to complete the document for instructions;
    • Search online for guidelines around your specific type of document;
    • Ask friends or family who may have completed the same document before.
